Why Homeowners Need It

Insurance claims pay in stages, and the checks come to you.

Several contractors, several deposits, several checks.

Without a tally, money gets paid twice, or a contractor walks away without a lien waiver.

The Claims Tracking Tool keeps the whole claim on one page, built from your estimate.

Screenshots below are from the real tool, with the homeowner name, address and claim number replaced by sample data.

Step 1

Your Claim at a Glance

Your carrier, claim number, deductible and current carrier RCV offer sit at the top.

Print it or email it with one tap.

Every change saves automatically.

Step 2

Every Carrier Offer, Logged

Every offer your carrier sends is logged in order, with its name, date and RCV amount.

When the carrier sends more, add the new offer.

The newest offer becomes the job's Carrier RCV Offer.

Carrier offers section listing each scope of loss offer with date and amount

Step 3

Money In From the Carrier

Check 1 is ACV (Actual Cash Value).

Check 2 is Supplements.

Check 3 is Recoverable Depreciation.

Tap Y and add the date when a check arrives, and it goes straight into the ledger.

Step 4

Every Trade, Pulled From Your Estimate

Each trade on your estimate becomes its own line item.

Tap the arrow to open it.

Paid and Still Owed show on every bar, with Still Owed in red.

Line items pulled from the estimate, each with an expand arrow, amount paid and amount still owed

Step 5

Contract, Deposit, Start Date and Carrier Approval

Open a trade to record the contractor, contract amount, estimate received and hired.

Log the deposit, deposit date and ETA on the start date.

Mark whether the carrier approved it and whether the carrier payment came in.

Step 6

General Liability, Workers Comp and Lien Waivers

Verify every contractor carries General Liability Insurance before work starts.

Verify Workers Compensation Insurance, or mark it N/A.

Collect a lien release waiver when each contractor is paid.

Step 7

The Payment Table

One table shows every trade, contractor, contract amount, paid and still owed.

General Liability and Workers Comp status sit on every row.

Overhead & Profit is included as its own line.

Step 8

The Rolling Ledger

Carrier checks in.

Contractor payments out.

A running balance after every entry, so you always know what is left.

Step 9

Reconciliation: Money In = Money Out

Total received from the carrier is checked against total paid to contractors.

Balance on hand, total still owed and lien waivers in are shown together.

The ending balance tells you if you are short or over.

Print It, Email It, Share It
